EVENTS – RENTAL AND PRIVATE EVENTS COORDINATOR

Starting Pay Rate: $12.50/hour

Schedule: 20 hours per week; weekend & evening work is expected, as well as occasional weekdays. This position is guaranteed through October with the possibility for extension.

Education and Experience Requirements:

  • High school diploma or GED required.
  • At least one (1) year of college-level course work in hospitality, business, marketing, advertising, communications or on-the-job experience in a related field preferred.
  • Competency in office management techniques and the use of technological applications such as Microsoft Office and Google Workplace, spreadsheet and database software, and records management.
  • Familiarity with Adobe Suite, WordPress and WeddingPro preferred. While these areas of experience are not required, a willingness to learn and develop them is.
  • The successful candidate will be able to demonstrate their experience and competence in oral and written communication, attention to detail, and enjoyment of interfacing with the public.
  • Fenner Conservancy reserves the right to utilize equivalencies where deemed appropriate with regard to education and experience requirements.

  • Ability to build and maintain positive working relationships with potential renters, staff, managers, interns, directors, and visitors.
  • Skill in conducting facility tours and registration meetings.

  • Ability to develop print and digital promotional materials preferred.
  • Ability to proactively identify tasks that need to be accomplished and work independently to ensure their completion.

Additional Requirements:

  • Criminal history background check will be required
  • A valid driver’s license and personal transportation will be required

Physical Capacity Requirements: This position requires the ability to walk, speak, hear, lift, carry, finger dexterity, and visual acuity.  It also requires the ability to lift 10 pounds with occasional lifting of up to 40 pounds.  Reasonable accommodations will be provided, if necessary, for individuals with disabilities who can perform the essential job functions of the assignment.

Environmental Conditions of Position: The work associated with this position will occur in both the office environment and the outdoor environment in all kinds of weather and in uneven terrain.

Essential Position Functions:  Under the direct supervision of the Development & Events Manager, the Events Coordinator will undertake the following responsibilities:

Event Management (50%):

  • Scheduling, setup and onsite supervision of Fenner private rentals
  • Tracking of income for rentals
  • Facilitation and tracking of all rental-related documentation, including contracts, invoices, floorplans and permits

Event Marketing & Communications (25%):

  • Act as the primary point of contact for rental inquiries, questions, facility tours and bookings
  • Monitor & maintain rental-related communications through email, WeddingPro and by phone
  • Support the design of public facing communications and listings, including through WordPress, WeddingPro, Facebook, Instagram, and brochures

Program Development (as needed):

  • Research and support the development of a preferred partners program
  • Research and support the development of an elopement package 

Capital Maintenance (20%): 

  • Clean and set indoor facility according to layouts provided by the renters prior to the rental
  • During weddings, clean outdoor chapel prior to provided ceremony start time
  • Take out trash and recycling following the rental
  • Monitor facility and equipment for degradation and complete light maintenance

Administrative (4%):

  • Opening, staffing and closing the Nature Center
  • Provide assistance to the public, in person, on the phone and via the internet

Other Duties as Assigned (1%):

  • This position does not include all tasks that may be completed in this position. Duties may be added, removed or modified at any time.
